HCII2023 will run as a 'hybrid' conference; details available @ Program Overview

Registration

 

All registered conference participants are entitled to:

  • conference proceedings in electronic format
  • access the hybrid Opening Plenary Session and Keynote Speech
  • participate in all virtual only and hybrid parallel sessions
  • access the 'in-person' and virtual posters
  • access the 'in-person' and virtual exhibition
  • participate in all advertised open hybrid sessions

During the on-line registration process participants will be required to select their preferred attendance method (in-person or virtual).

Participants that select to attend ‘in-person’ will be also entitled to:

  • enter the conference reception (evening of 25 July)
  • enter the refreshment breaks between sessions (2 per day, mid-morning and mid-afternoon, between 26-28 July)
  • register for one or more tutorials (an additional fee per tutorial is required)
  • register for one or more workshops (an additional fee per workshop is required)
  • register for the Design Café (an additional fee is required)

 Note 1: All authors / presenters of papers or posters, organizers of (invited) sessions, Tutorial instructors, Program Board members, and members of cooperating organizations will receive this discounted registration fee.

 Note 2: Workshops are ‘closed’ events, i.e. only authors of accepted workshop proposals, registered for the specific workshop, will be able to attend.

 Note 3: Conference Reception ticket for non-registered accompanying persons


Participants are kindly asked to make their own arrangements for meals.

Students

 

Students are entitled to discounted fees for their Conference registration, Tutorial registration, best deal, and good deal.

The discounted student fees apply to all authors / presenters of papers or posters, student design competition contestants, and Conference attendees who are students.

During the on-line registration process students are required to submit documentation, in English, from the University or School they attend, about their current student status: either a scanned copy of an official letter duly signed and stamped or an equivalent official electronic document in PDF format (e.g. digitally signed or carrying on-line verification).

During the on-line registration process participants will be required to select their preferred attendance method (in-person or virtual).

Exhibition Fees

The 'in-person' part of the exhibition will run at specific times between 26-28 July, while the additional free virtual booths will be available on-line continuously for six days (23-28 July).

The price of a standard booth includes:

  • shell scheme in white color
  • one-line ID sign
  • basic lights (one spot per 3 m2)
  • one power drop 230V 10Amp
  • floor carpet
  • 1 complimentary Conference registration
  • 2 free passes to the Conference Exhibition

All Exhibitors are also entitled to be listed:

  • in the Final Conference Program (if they register by 1 May 2023)
  • on the Conference Website (name, logo and a link to their website)
  • in the HCI International Newsletter widely distributed around the world through our mailing list

Cancellation and Refund Policy

 

Cancellation of Registration

All registration cancellations, due to any reason, received in writing by 3 February 2023 will be fully refunded, less 10% which will be deducted for administrative expenses. For cancellations, due to any reason, received after this date, please see the following cases:

(A) For authors of papers

For paper presentation at the Conference and publication in the Proceedings, one registration per paper is required by 24 February 2023 (extended deadline). After this date, submitted papers will be forwarded to the Publisher for inclusion in the Conference Proceedings and no refunds will be made.

(B) For authors of posters

For poster presentation at the Conference and publication in the Proceedings, one registration per poster is required by 24 March 2023 (extended deadline). After this date, submitted manuscripts will be forwarded to the Publisher for inclusion in the Conference Proceedings and no refunds will be made.

(C) For non-authors

One-half of the registration will be refunded for cancellations received in writing between 3 February and 31 May 2023. No refunds will be made from 1 June 2023 onwards.

 

Cancelled Tutorials

If, for any reason, a tutorial is cancelled, then the tutorial’s registered participants are entitled to transfer their registration to another tutorial or to receive a refund.

Visa

 

If you are planning to travel to Copenhagen, Denmark from abroad and you are not a citizen of a Schengen EU country, you will need a valid passport and, in some cases, a visa. Certain international travelers may be eligible to travel to the Denmark without a visa, if they meet the requirements for visa-free travel. For detailed information you can visit this web site.

You can also find helpful information about how you can apply, procedures, required conditions, documentation and applicable fees for you to obtain the visa.

You should pay particular attention to the Danish travel requirements and plan your travel well in advance.

The Conference organizers will be pleased to provide a visa support letter to all approved registered conference participants for use in the context of their application for visa, if / as necessary.

After your registration process is completed and approved, you will receive a confirmation email including a link to your invoice. Then, from the 1st of January 2023 onwards, you will be able to fill-in the application form for the visa support letter, which will become available through your Conference Management System (CMS) user account.

After we process your application, you will receive as an email attachment your visa support letter in PDF format together with an additional recognition letter from the Official Tourism organization of Copenhagen.
